What is a Space and How to Create It?

4 min read

✨ Introduction #

Spaces are the core work units inside a Space Group. Each Space represents a focused area—such as a client, department, or project—so teams can organize work cleanly and get started fast with an out-of-the-box structure.

#

📍 Location of a Space #

Spaces reside inside Space Groups in the Spaces subpanel of the Work panel. Open the Work panel from the left navigation (one of Kaamfu’s three main panels alongside Team and Activity), select a Space Group, and you’ll see its Spaces displayed as tiles. This placement ensures Spaces are always discoverable from your primary work hub.

🎯 Why This Feature Matters #

Before teams can plan and track work, they need a clear container for it. Spaces give each client or project its own place, reducing clutter and confusion across the workspace.

  • Clarity of scope: Each Space keeps conversations, boards, and items tied to a single client/project, preventing cross-talk.
  • Faster setup: Default child objects are auto-created so work can begin immediately.
  • Better tracking: Members and total effort are visible at the Space level, making oversight simple.

Taken together, these improvements help teams start structured, stay organized, and move faster.

📄 Feature Overview #

A Space is an object inside a Space Group. In a Space Group, the object area shows tiles, and each tile represents a Space. Creating a new Space follows a similar flow to creating a Space Group; however, Space creation also auto-generates a starter structure (boards and item groups) so you can begin planning and execution immediately. This alignment keeps hierarchy consistent while reducing setup time.

📌 Parts of a Space Tile #

Understanding the tile helps you scan and manage Spaces efficiently.

  • Type label: Shows the Space type at the top (currently Common Workspace is the only type).
  • Name field: The main title area; double-click to rename the Space.
  • Metrics row: Quick metrics—Boards, Items, Members, and Total Effort (cumulative time) for the Space.

With these elements, you can identify, rename, and assess a Space at a glance.

#

💡 Key Benefits #

This feature helps streamline your work in several ways:

  • Structured kickoff: Spaces come with a default board group, board, and item groups so you can plan tasks right away.
  • Focused collaboration: Everything related to that client/project stays contained within its Space.
  • Simple oversight: Count of boards, items, members, and cumulative effort appear at a glance on the tile.

These benefits combine to reduce admin time and keep teams moving with clarity.

🛠️ Step-by-Step Instructions #

Use these steps to create a Space inside a chosen Space Group.

Step 1: Open the Space Group header #

Click the header of the Space Group where you want the Space. This opens the options pill for that group.

Step 2: Click the plus (+) icon #

Select the plus icon. A flyout menu slides in from the left—this is the Add a New Space menu.

Step 3: Choose the workspace type #

Common Workspace: The only clickable option; other types are greyed out/disabled. Selecting it activates the Create button at the bottom (chin) of the menu.

Step 4: Create the Space #

Click Create. A new Space tile appears in the selected Space Group.

Step 5: Name the Space #

The tile shows greyed text Space name with a blinking cursor. Type a name and press Enter to save.

.

.

Following these steps ensures your Space is created correctly and ready for planning immediately.

#

📌 What Happens After Creating a Space #

After you click Create, Kaamfu sets up a basic working structure so you can start right away.

  • Automatic structure: The view switches from Spaces to Boards, showing Board Group 1 and Board 1 created for you.
  • Item workflow ready: The view then switches to Items, where default To Do and Done columns appear.
  • Quick renaming: You can return to Boards/Items to rename Board Group 1, Board 1, and item groups.

This automatic flow minimizes setup overhead and guides you into the next steps naturally.

#

📌 Membership in a Space #

You can access the membership of a Space in two ways; both open the right-side pane for modification.

  • Options pill route: Click the Space → open the hamburger menu in the options pill → select Membership.
  • Chin route: Click the Space → click the Membership icon in the chin of the Spaces subpanel.

In the membership panel, you can add or remove members and set Member/Admin roles, keeping access aligned with responsibility.

#

📌 Who Can Create a Space #

Creation permissions are scoped to leadership and delegated admins.

  • Org Owner: Full authority to create Spaces.
  • Workspace Admin: Can create Spaces across the workspace.
  • Space Group Admin: If added as an admin to a Space Group, can create Spaces within that group.

This model enables centralized control while allowing scale through delegated administration.
