What is an Item Group and how to create it?

6 min read

✨ Introduction #

An Item Group is the container that holds Items inside a Board. It lets teams organize related tasks under clear categories such as “To Do,” “In Progress,” and “Done.” This grouping makes progress tracking and workload division easy and visual for every team member.

.

📍 Location of a Item Group #

Item Groups are located in the Items subpanel of the Work Panel. To find them, open the Work Panel from the left navigation sidebar and select a Space Group. Inside it, choose a Space, then navigate to the Boards subpanel and select a Board. Once you open the Items subpanel, you will see Item Groups displayed as vertical columns—each with its own name, Items, and creation field.

.

.

Item Groups are categorized as Open or Closed, each with distinct behavior and color.

  • Open Item Groups are active groups where ongoing tasks reside. Any Item placed here is marked as open, and its assignment continues to be active. Open groups have a white background, visually distinguishing them as active work areas.
  • Closed Item Groups automatically mark any Item moved into them as ended. The task assignment is closed, and its conversation thread is archived automatically. Closed groups have a grey background, signaling that no further action is expected on those tasks.

This layout provides a clear visual separation between active and completed work, helping teams quickly understand project status at a glance.

🎯 Why This Feature Matters #

Item Groups are essential for breaking projects into manageable sections. They define workflow stages and make task movement clear and transparent.

They help teams:

đź“„ Feature Overview #

An Item Group is a vertical column inside the Items subpanel of a Board. Each Item Group contains multiple Item tiles—representing individual tasks. These groups help define progress stages like To Do, In Progress, or Done, depending on how your Board is structured.

Item Groups keep task lists organized, ensuring that everyone understands where each task stands in the overall workflow.

.

📌 Parts of an Item Group Column #

Item Groups follow the same structure as Board Groups, with components that make organization and task creation seamless.

  1. Header: Shows the Item Group’s name.
  2. Object area: The body of the column that displays all Items in the group.
  3. Item tiles: Each task inside the group appears as a tile for easy tracking.
  4. New item creation field: A “Item name” placeholder at the bottom—clicking on it lets you create a new Item quickly.

With these elements, you can easily add, view, and manage all tasks within a Board.

.

đź”’ Permissions and Deletion #

Only Organization Owners and Workspace Admins can delete Item Groups. Creation, however, is open to Board Admins and above. This keeps structure management flexible while maintaining necessary oversight.

.

👥 Membership Access #

Membership at the Item Group level governs who can access all Items inside that group. You can open the membership panel in two ways.

  • Through the header: Click the Item Group header, open the options pill, select the hamburger icon, then click Membership.
  • Through the chin: With the Item Group selected, click the Membership icon in the chin of the Items subpanel.

Both actions open the membership panel in the right pane, where you can add or remove members and assign roles such as Member or Admin. Managing membership here cascades access to all child objects inside the Item Group.

.
